New and Important Information for 2023

Below you will find a summary of key changes for 2023 that will impact you as an Exhibitor or Contractor but please make sure to read the whole manual for full details. The manual provides both recommendations and mandatory rules. 

Exhibition Timetable

  • All stand construction and exhibit set up must be completed by 20:00 hrs on Tuesday, 31st October 2023; to complete the sterilisation process. No contractor/exhibitor will be allowed in the halls until event opening. Failure to meet this deadline may result in a penalty fee.
  • All exhibits, stand fittings and waste must be cleared from the site by 17:00 hrs on Tuesday, 7 November 2023. Failure to meet this deadline may result in a penalty fee.

Badges & Passes

  • Access to Jewellry & Watch Show 2023 is pre-registration only. All attendees need to pre-register online prior to arrival and download their badges from the exhibitor portal.
  • All stand personnel required on the stand during the event days, including stand-by contractors, catering and hostess staff must be allocated a badge through the exhibitor portal and will come out of the exhibitor badge allocation.

  • Our new Exhibitor Environmentalist Checklist is now available and has useful tips to lower your environmental footprint whilst you are exhibiting with us.

Wooden Stands, Pavilion & Packaged Stands

  • Our Stands have been redesigned for 2023.

Space Only Information

  • The Floorplan has changed from previous years. It is the exhibitor's responsibility to examine the area and site allocated to you in order to avoid costly adjustments to stand structures.
  • Exhibitors should complete and return Stand Design and Contractor Details Form to the Organisers by Friday, 6th October 2023. It is in the Exhibitor's interest to appoint a contractor with reputable credentials.

Space Only Stand Plan Submission

  • Exhibitors who are building Complex Structure stands (structures over 4 meters in height, double-storey stands, raised platforms, and certain suspended items), please complete Exhibition Stand Structure Submission Form.
  • Designs must be received no later than Friday, 6th October 2023.

Stand Build Regulations

  • Designs must be simplify. With build-up time limits in place, it is recommended that stand designs be simplified and pre-fabricated or be modular in construction to facilitate efficient assembling. This will also ensure less manpower onsite.
  • 80% of your stand should be 'usable space'. The stand design should ensure that a minimum 80% of the total space is usable space. If there is a requirement that will impact this, then the number of people allowed on the stand needs to be adjusted.
  • Enclosed Stands are not recommended.
  • Ceilings on stands are not recommended.
  • 1m perimeter is recommended.  On the stand, reception counters, furniture, product displays and models are recommended to be set back by a minimum of 1m from the edge of the stand to discourage queueing in aisles and to maintain physical distancing, where possible.

 

Also no longer permitted for 2023:

  • Promotional giveaways and brochures are discouraged. Stands are discouraged from handing out leaflets/giveaways.

Logistics, Lifting and Delivery

  • All deliveries must be made directly to the official lifting contractor. You can either then collect these yourself or arrange for the lifting contractor to deliver them to your stand.
  • Consider methods to reduce the frequency of deliveries.
  • Encourage drivers to stay in their vehicles where this does not compromise their safety and existing safe working practices.
  • Where possible and safe, have single workers load or unload vehicles.
  • Putting in place procedures to minimise person-to-person contact during deliveries.

Catering Regulations

  • Abu Dhabi National Exhibition Centre has sole catering rights for food and beverage services within the venue. All food and beverage items consumed in the halls should be supplied by ADNEC appointed outlets only.
  • Food outlets serving light refreshments and snacks are located along the exhibition concourse areas while more options can be found in ADNEC Grandstand Food Court.
  • Exhibitors requiring stand catering should complete and return Form 14.
  • The use of external caterers is not permitted within the venue. However if a 3rd party caterer is bought on site to provide catering a corkage fee will be charged by ADNEC and will need to paid before service can begin or continue - this is calculated by the catering manager. Cleaning and Hygiene

  • General cleaning of the aisles and common areas is the responsibility of the Organisers.
  • Full cleaning of the Official Contractor's wooden stand packages will take place prior to the exhibition opening only. It’s the exhibitor’s responsibility to clean their stand each day after.
  • Exhibitors who booked Space Only stands are fully responsible for cleaning their own stands.
  • Abu Dhabi National Exhibition Centre can supply a full cleaning service; exhibitors requiring the service should complete and return Form 16.
  • A skip service is available; exhibitors requiring the service should complete and return Form 17,
  • During the build-up and breakdown period, exhibitors and their contractors are responsible for ensuring all waste materials are deposited in the rubbish bins provided in the freight yard. It is essential that paths and internal walkways are kept clear of rubbish and other obstructions at all times.
  • All exhibitors must provide hand sanitiser and/or hand washing facilities within the stand design.
  • All high touch points should be regularly cleaned with appropriate cleaning materials during build, show open and breakdown.

Your Tasks & Order Deadlines

  • Please pay extra attention to where deadlines may now be earlier than in previous years due to new lead times. Orders should be placed in advance to reduce onsite contact.

 

WARNING: Unsolicited Marketing Communications

It has come to our attention that our customers are increasingly being targeted by companies claiming to supply exhibitor/visitor/participant lists and details relating to our events and products at a cost.  Be vigilant – this data is likely fraudulent.  If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

*If you are working onsite during the build up and breakdown periods you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest and suitable footwear (no opened toed shoes or heels). 

Badges & Passes

Please ensure that you and your team have received, read and understood the admissions policy.

 

Exhibitor Badges

As part of our safe and contactless initiatives, we recommend you print your badge at home. Your exclusive print@home badge will be emailed to you 10 days prior to the event allowing you the quickest access. Badges should be always worn when on-site.

When ordering your exhibitor badges, you are reminded that there are capacity restrictions in place for this year and it is the exhibitor's responsibility to manage this on their stand.

Contractor Badges 

Please also refer to Labour Law Notice, UAE Labour Card, Sub-contracting.

For Build-up and Break-down days: All contractors must be able to produce their Emirates ID card together with a photocopy of their UAE visa showing their sponsor’s name. Only a valid Emirates ID card together with a copy of the visa will permit access to ADNEC. All contractor staff must report to the nearest loading bay to avail of a temporary contractor badge. International contractors will be required to present their passports with a valid UAE visa. This proof of identity will be kept by Venue Security until the contractor badge is returned.

  • If exhibitors require their contractors to have access during the Show Open days, then they must obtain an Exhibitor Badge in addition to a contractor pass.
  • These badges are for stand maintenance work only during show days, they will grant you access to the stands before and after the show hours.
  • Having these badges do not override the contractor badges granted by ADNEC for build-up and breakdown days
  • These badges cannot be shared between different staff members, doing so will lead to legal action being taken against those who violate this rule

 

Maintenance Pass

The maintenance works of all exhibits must be undertaken outside the exhibition hours.

Exhibitors who wish to perform maintenance works on their stands should submit this form to the onsite Organiser’s office at least four hours before the show closes on the same day for authorisation.

The use of trolleys and the movement of exhibits during exhibition opening hours are strictly forbidden.

 

Visitor Admission

Entrance to the exhibition is free and open to public upon presentation of the registration email confirmation with the barcode. Each barcode allows an entry pass to only one person and valid on all 5 days of the exhibition.

Sustainability

Jewellery & Watch Show 2023 is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.

RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emmissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development  Goals which will direct our considerations as to the ways in which our events are organised.

With the charter in mind we have created an Exhibitor Sustainability Checklist which you can utilize in the planning of your participation at Jewellery & Watch Show 2023.

ADNEC’s ESG Initiatives is a waste management and recycling program which they have been actively doing for few years. To give you more awareness about ADNEC’s ESG Initiatives and to give more emphasis to it, ADNEC has created a request for recycling of materials form.

For JWS exhibitors who expected to have a high volume or quantity of recyclable materials, please fill in the Recycling Form and send the duly completed form to ADNEC cleaning & environment department on the email mentioned on the top of the form prior to the build-up of the event, for ADNEC to arrange the necessary logistics and manpower assistance for stowing and collection of your recyclables.

Please note that this service is offered by ADNEC and is completely free of charge.
